How to Know If a Client Is a Good Fit (Before You Say Yes)

When you're building your VA business, it can feel exciting to get that first reply from potential clients.

But it can also feel like pressure. Because now the game is on. You need another client but is this the right client for you?

You might think:

  • “I should just say yes…”
  • “What if I don’t get another opportunity?”
  • “I can figure it out later…”

And that’s where a lot of VAs get into trouble.

Because not every client is a good fit.

And saying yes to the wrong one can quickly lead to:

  • overwhelm
  • unclear expectations
  • constant stress
  • and eventually burnout

The goal isn’t to get any client.

It’s to work with the right clients. You know, the clients that light you up. The clients you are excited to work with. That get you! That respect your boundaries so you can have a life outside of work.

You’re Allowed to Evaluate the Client Too

One of the biggest mindset shifts as a VA business owner is this:

You are not just being chosen — you are also choosing.

A discovery call is not just about impressing them.

It’s about figuring out:

  • Do I understand what they need?
  • Does this align with what I offer?
  • Does this feel like a working relationship I want?

You are building a business that offers great services — not accepting every opportunity that comes your way even if they're not a good fit for you.

In fact, trying to work with a client or business that isn't a good fit for you can do more harm than good. You'll end up resenting them. They'll end up frustrated. It's a lose lose for everybody.

What a Good-Fit Client Actually Looks Like

A strong client fit usually includes:

  • clear communication
  • realistic expectations
  • respect for your time and boundaries
  • willingness to collaborate

You don’t need perfection.

But you do need alignment. And that's going to look different for every person. A client who is a red flag for you might be a great fit for someone else. And vice versa. Just because you love your client doesn't mean they're going to be a great fit for everyone in your network.

But there are some red flags to help you identify who's a good client. And who isn't.

Red Flags to Pay Attention To

Not every misalignment is obvious right away — but there are some early signs to watch for.

🚩 Vague or Constantly Changing Needs

If they can’t clearly explain what they need, or it keeps shifting, the scope will likely be unclear once you start.

🚩 Expecting Immediate Availability

If a client expects instant replies before you’ve even started working together, that expectation usually continues. And it's up to you if you want to work with that client knowing you'll need to be firm with your boundaries from the start.

🚩 Hesitation Around Pricing

If they push back heavily or try to negotiate everything, it may signal a mismatch in expectations and value. You want someone who values your services.

🚩 Disorganization Without Willingness to Improve

Some clients need support because they’re disorganized — that’s normal.

But if they aren’t open to structure, the work can quickly become chaotic.

Questions to Ask Yourself Before Saying Yes

Before you move forward with a client, take a moment to ask:

  • Do I clearly understand what they need?
  • Does this fit within the services I offer?
  • Can I support them without overextending myself?
  • Does their communication style work for me?
  • Would I feel comfortable working with them long-term?

If the answer to several of these is “no,” it’s worth pausing.

It’s Okay to Say No - In Fact, I Encourage You to Say No to Bad Fit Clients.

This is one of the hardest parts for new VAs.

But saying no to the wrong client:

  • protects your time
  • protects your energy
  • creates space for better opportunities

Every “yes” shapes your business.

Make sure it’s one you actually want. You don't want to spend months or even years working for a client that makes your work life miserable.

Good Clients Make Everything Easier

When you work with the right clients:

  • communication feels smoother
  • expectations are clearer
  • work feels more manageable
  • your confidence grows
  • your boundaries are respected and even encouraged.

This is what allows your VA business to become sustainable, not stressful.

Finding good clients isn’t about luck.

It’s about:

  • paying attention
  • asking the right questions
  • and trusting your judgment

You don’t need to say yes to everything to succeed.

You need to say yes to what fits.
