Now, let's dive into why this structure is so important.
One of the most common struggles new virtual assistants face is explaining what they do once they're actually talking to a potential client.
You might find yourself saying:
- “I just help with admin stuff…”
- “I can kind of do a little bit of everything…”
- “I’m still figuring it out…”
And then immediately second-guessing yourself. Or feeling like an imposter. And before you know it, your nerves have won out and you're either rambling about anything and everything or you're brain goes blank and you don't know what to say to the person on the zoom call.
If this sounds familiar, you’re not alone.
But here’s the truth:
The way you explain what you do directly impacts how people see your value.
Why This Feels So Hard
When you’re new, it’s normal to feel unsure because:
- you don’t have a long list of clients yet
- your services might still be evolving
- you don’t want to say the “wrong thing”
So instead, many VAs default to being vague.
But vague doesn’t build confidence — and it doesn’t help potential clients understand how you can support them.
The Goal Isn’t to Sound Impressive
A lot of people think they need a polished, perfect pitch.
You don’t.
The goal is simple:
Be clear, specific, and easy to understand.
Think about if you're looking to hire someone to repair your driveway. Would you prefer someone who can easily explain how they'll help you and answers any questions you have or would you prefer someone who just says they'll get the job done but they add no other details?
Personally, I prefer the one who gives me more details. Like if they're going to use their tools, do I need to pay for anything extra, what day they're coming, how many people will come with them and when the work will be completed.
They don't need to explain to me every detail either. Because to be honest, the ins and outs of a driveway repair will probably go over my head.
But they'll give me the details I need.
And it's the same thing as VAs. We need to explain how we can help them in a simple way they understand.
A Simple Way to Explain What You Do
Instead of trying to say everything, focus on this structure:
👉 Who you help + how you help + what that allows them to do
For example:
“I support online business owners by managing their inbox and client onboarding so they can focus on growing their business.”
That’s it.
It's just one sentence to help potential clients know exactly what you do and the results you'll deliver.
It's not even one paragraph of explanation. It's just one sentence you can formulate before the call.
Avoid These Common Mistakes
1. Being Too Vague
“I help with admin.”
This doesn’t tell someone what you actually do.
2. Listing Everything
“I do email, social media, websites, customer service, tech, funnels…”
This feels overwhelming and unfocused.
3. Downplaying Yourself
“I’m just starting…”
“I’m still new…”
You don’t need to lead with this.
You Don’t Need to Have It Perfect
Your explanation will evolve.
As you:
- gain experience
- refine your services
- work with clients
Your messaging will get stronger.
But you don’t need to wait until it’s perfect to start using it.
Confidence Comes From Repetition
The more you say it:
- on calls
- in conversations
- in messages
The more natural it becomes.
Confidence isn’t something you wait for.
It’s something you build through use.

When you can clearly explain what you do:
- clients trust you faster

And that trust will lead to more client work.
You don’t need the perfect words.
You just need simple and clear words.
